Assists Wealth Strategists with the major components of the sales process relating to the acquisition and growth of new and existing Wealth Management prospects, clients and the cultivation of COIs. Responsibilities include but are not limited to: Lead and prospect research; creating and maintaining Partner Workstation profiles, call reports, and pipeline management. Tracking and reporting of detailed correspondence of Leads, Prospects, COIs and Clients; preparing and completing Fee Proposals for client presentations and implementation upon onboarding the new client set up, and writing of requests to obtain approvals as needed for discount requests, new account trust acceptance and regional round table discussion. Coordinating and processing travel and expense related submissions.
Major Duties:
1. Manages day to day activities coordinating the needs of Wealth Strategists.
2. Works with Wealth Strategists to maintain active prospect and lead files and reminders to initiate calls for proper follow up.
3. Work in collaboration with other associates within their team to assist on larger projects.
4. Partner Workstation CRM profile creation, management maintenance and reporting for Leads, Prospects, Clients and COIs.
5. Enters and manages prospect and client information in Partner Workstation to maintain an accurate active pipeline for the Wealth Strategists that accurately projects monthly sales expectations.
6. Custom presentation preparation and editing for sales meetings, prospects and client presentations.
7. Preparation and gathering of documents for new client onboarding; this includes coordinating the funding of assets from prior institutions, including the process involving the guarantee of letters of direction, obtaining statements and documents for onboarding and reviewing all documents for accuracy to effectively manage the onboarding sales process.
8. Coordinates and tracks the process for new account documentation. This includes working with the NCSS team to create documents for client approval, coordinating with the funding department to initialize the transfer of assets from prior institutions to Northern Trust, preparing Letters of Direction including the process to prepare for Medallion Stamping to be sent to prior institutions to verify that all is in good order.
9. Assist with coordinating and expensing all travel and expense related activities. This could also include setting up and coordinating prospect, client or COI events as requested by Wealth Strategists and working in collaboration with the local Marketing Specialist.
10. Researches prospects through various internal and external sources in preparation for sales calls and presentations.
11. Manages correspondence and reports for Wealth Strategists, focused on proactive outreach initiatives.
12. Writes and submits documents to the legal area to obtain trust acceptance approval, obtain missing information and correct documents to clarify information and resolve problem situations.
13. Works to periodically assist Marketing Specialists when someone in the local area is required and local assistance is needed.
Knowledge and Skills:
Knowledge of the personal wealth management market, trust and fiduciary related products, and services. Excellent analytical, organizational and communication skills are necessary. Strong computer skills, including Microsoft Office 365, Salesforce, and Concur are preferred. Business degree and/or equivalent work/education experience.
Experience Required:
Candidates should have 1-3 years of related client/sales servicing work experience.
