Sales Assistant, PCIS
Schedule: Monday through Friday 8am to 5pm.
Location: Hybrid- Must be in the Richmond, VA area.
Sales Assistant Role Description:
Performs administrative functions for the Vice President (VP) of Sales. Provides lite administrative support to managers and directors in the Sales channel. The Sales Assistant plays a critical role in helping the sales team run smoothly and serves as a trusted partner to our entire sales channel.
Responsibilities:
- Calendar management –Understand prioritization and sensitive matters, proactively look ahead several weeks to avoid/resolve overlap, ask about potential overlap and/or new meeting requests (when necessary), proactively identify issues and fix and/or escalate.
- Travel arrangements – understand hotel, airport and airline preferences, company requirements/caps to keep bookings within, keep travel rewards numbers on file.
- Expenses and expense reports – Order equipment and office supplies as needed, audit/submit expense reports monthly.
- Meeting and Tradeshow support – Plan and manage needs for team meetings, including leadership and all hands meetings (both in person and virtual). When requested, manage meeting notes and follow-up items. Tradeshows include registration, update internal trackers, process payments. Order collateral, banner, table covers and facilitate shipments. Track tradeshow materials for return and reuse.
- New Hire onboarding and terminations: Tasks associated with onboarding or exiting an employee to meet deadlines. New hire onboarding includes technology provisioning and tracking of back-office requests to ensure they are completed in a timely manner, communicating with support teams, as necessary.
- Auditing timecards - Understand the time keeping system (ADP) and answer questions around PTO and missed punches as they arise from the team. Audit and approve non-exempt team members timecards bi-weekly. Request one-time payments as needed for employees.
- Planning In-Service Trainings – Work with our internal and external supplier partners to plan and implement in-service supplier trainings 2-4x each month for the team. These are usually Lunch and Learn events.
- SharePoint Document Maintenance – Have a solid understanding of using SharePoint for document sharing and storing. Update important documents regularly and archive outdated ones.
Minimum Job Qualifications:
Education/Training – High School diploma
Business Experience – 3 or more years of related experience
Specialized Knowledge/Skills –
- Microsoft Suite – Proficient in MS Office, including Excel, Word, PowerPoint, Outlook, and OneNote.
- Organizational skills & Ability to multitask
- Basic project management skills to meet deadlines
- Discretion and confidentiality – You will have access to and handle confidential and critical information, so discretion and judgment are key requirements.
- Efficiency – Action requests in an efficient manner or provide ETA/regular updates if not able to action due to bandwidth or other reasons. Ability to multitask.
- Problem solving and decision making – understand VPs preferences and move forward by making decisions based on preferences when possible; provide options to review when escalating.
- Communication – Serve as a representative and ambassador to your executive with other leaders and employees across the organization as well as external partners. Ask questions where clarification is needed, maintain regular touchpoints to discuss important topics real-time. Close all communication loops, anticipate upcoming needs/be proactive, be responsive via MS Teams/email/text. Coordinate with other admins and EAs, as needed, on travel, leadership meetings, etc.
